Events Coordinator

Reporting to: Head of Events

Salary dependent on experience

AIMA is the global industry body for alternative investment managers with a specific focus on hedge funds and private credit managers. Headquartered in London, and with offices internationally, we represent the industry to key stakeholders globally including policymakers and regulators, investors, the media and the public. We have around 2,000 corporate members across more than 60 countries and run more than 200 events annually for our members around the world.

Role:

To work closely with the Head of Events and the Senior Events Coordinator to execute a wide range of AIMA events.
Duties:

  • Efficiently manage the registration process and bookings for AIMA events using in-house systems (CRM / AIMA website)
  • Design and create event marketing communications including save the dates, invitations, confirmations and post event emails
  • Prepare, design and continuously improve relevant event materials required (handouts, badges, branding)
  • Attend and take responsibility for events on site whilst representing AIMA both locally and internationally
  • Maintain statistics on event attendance and feedback
  • •Maintain and update relevant documentation and materials including the events calendar, events work flow and global events master lists
  • Take responsibility for 3rd party supporting agreements and manage/schedule the associated deliverables
  • Assist in implementing the promotion of events through the website and other marketing channels
  • Maintain and update the events web pages, including any associated sites
  • Build a knowledge of venues and resources by attending industry relevant events and site visits
  • Liaise with speakers and sponsors in advance of events
  • Implement and manage relevant internal events when required
  • Create and collect survey responses for events when required
  • Responsible for assisting on the implementation of over 100 events a year from start to finish under the guidance of the Head of Events and Senior Event Coordinator
  • Assist with other ad-hoc duties as required by the business.

Required skills and experience include

  • Excellent computer skills with proficiency in Excel, Word and PowerPoint
  • Experience of event related technology including CRM systems and digital marketing platforms
  • University degree preferred
  • Experience of design related technology such as adobe programes (InDesign, Illustrator, Premiere Pro) preferred
  • 1-2+ yrs experience in a corporate environment preferred
  • Team player capable of independently managing a range of projects working with all levels of stakeholders
  • Ability to prioritise workload in a strict deadline-oriented environment
  • Ability to work under pressure and stay calm, multi-task and adjust work accordingly
  • Excellent oral and written communication skills
  • Interest in developing a career in marketing / events management.

Further details

This is a full-time role (3-month probationary period) to be based in London with 23 days’ holiday. Eligibility to work in the United Kingdom is required. Benefits after probation include private health insurance, life insurance, company pension, discretionary annual bonus and annual gym membership. AIMA is currently a hybrid working environment with general office hours of 9am-5.30pm.
