Events Co-ordinator

Reporting to: Global Head of Events
AIMA is the global industry body for alternative investment managers with a specific focus on hedge funds and private credit managers. Headquartered in London, and with offices internationally, we represent the industry to key stakeholders globally including policymakers and regulators, investors, the media and the public. We have around 2,000 corporate members across more than 60 countries and run more than 240 events annually for our members around the world.
This is an exciting opportunity for someone with a passion for events, exceptional attention to detail, and an interest in financial services or trade associations.
Role:
To work closely with the Global Head of Events and the Events Manager to execute the EMEA events programme, based in the London office.
Duties:
- Efficiently manage the registration process and bookings for AIMA events using in-house systems (CRM / AIMA website)
- Design and create event marketing communications including invitations, email campaigns, infographics and social media content
- Prepare, design and continuously improve relevant event materials required including slides, badges and branding
- Attend and take responsibility for events on-site whilst representing AIMA both locally and internationally
- Maintain statistics on event attendance and feedback
- Maintain and update relevant documentation and materials including the events calendar, newletters, and a consolidated and global events master lists
- Take responsibility for 3rd party supporting agreements and manage/schedule the associated deliverables
- Assist in implementing the promotion of events through the website and other marketing channels
- Maintain and update the events web pages, including any associated sites
- Build a knowledge of venues and resources by attending industry relevant events and site visits
- Liaise with speakers and sponsors in advance of events
- Implement and manage relevant internal events when required
- Create and collect survey responses for events when required
- Assisting on the implementation of over 60 events a year from start to finish under the guidance of the Global Head of Events and Event Manager
- Assist with other ad-hoc duties as required by the business.
Required skills and experience include:
- Excellent computer skills with proficiency in Excel, Word and PowerPoint
- 1–2+ years’ experience in a corporate or professional environment
- Experience of event related technology including CRM systems, digital marketing platforms and webinar technologies
- Experience of design related technology such as adobe programmes (InDesign, Canva, Vimeo) preferred
- Ability to manage multiple projects simultaneously whilst meeting constant deadlines and delivering under pressure
- Ability to work under pressure, multi-task and adjust work accordingly
- Excellent oral and written communication skills
- Meticulous attention to detail
- Excellent planning & organisational skills
- Flexible, proactive and accommodating attitude and a willingness to welcome responsibility
- Strong communication skills – both written and oral
- Comfortable working with stakeholders and speakers to shape event agendas/programmesInterest in developing a career in marketing / events management
- Keen interest in events, marketing, or financial services
- University degree preferred.
